Efficient complaints management

Identifying quality defects at an early stage, rectifying them efficiently and avoiding them in the long term - this is a challenge for many companies. A lack of transparency, inefficient processes and a high level of manual effort make it difficult to process complaints. ConSense, developer of software solutions for quality management systems (QMS) and integrated management systems (IMS), offers ConSense Forms, a digital solution that optimizes the complaints process.

The module was developed for form and workflow management. It enables the creation of a digital complaints management system that ensures a structured complaints process and end-to-end traceability of all processing steps. Automated workflows and transparent documentation help companies to analyze sources of error in a targeted manner, implement measures effectively and improve quality assurance in the long term. Reported complaints are recorded digitally, for example by recording information on the affected product, the production location, the type of defect, etc. The module is linked to existing company data. The module can be connected to existing company databases in order to import relevant data directly and thus simplify and speed up the recording process.

Once complaints have been recorded, they can be evaluated, specific measures defined and automatically assigned to the appropriate departments for processing. Clear responsibilities and standardized processes shorten processing times and minimize sources of error. Implementation is documented in the software and the success of the measure is evaluated. The recorded data also enables a structured root cause analysis, from which long-term improvement measures can be derived.
